Idiot's Guide to Group Reports


*Reports are due by Friday at noon. Please be sure to save a Word Document in case the report gets cut off. (There are 10 steps)

Step 1
: http://www.docs.google.com

Step 2: Click on “Try Google Docs Now”


Step 3:
If you already have an account, log in. If not, create a new account.


Step 4:
Log in.


Step 5:
Contact a SAD to invite you to be able to edit the spreadsheet for your group.


Step 6:
Click on the document that corresponds with your group’s name.

 A Microsoft Excel spreadsheet will appear in a new window. On the left side should be the list of all of your group members.

 
Step 7:
Type their names into the columns with their last names on the left side. Don’t forget to include yours and your co-leader’s name to claim your attendance.


Step 8: On the right is a column for every week of the semester. For week 1, type a 1 beside every attendee’s name if they were present and hit “Enter.” If you have a 2-hour meeting, type a 2 beside each name and hit “Enter” etc. If your group didn’t meet one week, put 0’s in the column for that week.

If you need to add more names on the spreadsheet, right-click the numbers on the left-hand side and hit “Insert.” This should insert another row. Do this as many times as necessary.


Step 9: Comments

When you scroll below all of the names, there is a series of colored cells. If you hover your mouse over the first column of colored cells, the report questions will appear. To the right of the questions in the columns corresponding to the week you are reporting on, you will submit the answers.

It is suggested that you type your questions into Microsoft Word first and then put them into the cells. Right-click each cell and select “Insert comment.” This is where you will paste your responses. To delete a comment, right-click the cell and select “delete comment.” To edit, hover your mouse over the cell and the comment box will appear beside it. You can then type into this box.

 

Contents of the Comments:

Date Group Was Held: This is self explanatory. The date you submitted the report will automatically appear when you edit the spreadsheet, so only the date you actually held your group is necessary.

Where was the Meeting Held: Also self-explanatory. Your meetings should typically be held in the Honors House or the Rec Center. You need permission from a SAD to meet off-campus.

Goal of this Meeting: This should be a few sentences describing what you hoped prior to the meeting. If things turned out differently than planned, this is your place to explain what your initial hopes were for the meeting. If you play a game include the rules, if you are watching a movie include a short synopsis and why it was chosen or relevant.

What Occurred During this Meeting: Remember: the Records Keeper and the SAD of Program Development  are the only ones that will be reading these. Be as elaborate as possible. Explain what it was your group did, include any problems that may have arisen, or if an activity went well, explain why it went well. Include quotes, reactions, and names if possible. This is where you get to tell the RAD or Records Keeper as confidentially as possible what is happening in your group. They can’t know what’s going on, if you don’t tell them. If there is something that a co-leader is doing (or not doing) that you have a problem with, please email the SAD of Program Development and Leadership separately.

What Did the Attendees Get Out of This Meeting: This is where you get to tell us ideally how you have benefited the members of the group. Justify your hour to us. They are giving you an hour every meeting that they cannot reclaim so we need to know that the purpose of it was legitimate.

Co-Leader Contributions: Whatever your co-leader did to plan and what they did during the activity, please make a note of it here. If you’ve planned every activity all semester, it will be obvious here.

(Please keep a running word document withthis information in case your report gets lost. This is to assist your memory of what was done in case the information is requested later. Whatever you do, DO NOT delete the document.)


Step 10
: Click “File > Save and Close”

            Pat yourself on the back, you are done.

 All Reports are Due by Friday at Noon and Sunday at Midnight for Friday Groups
