Position: Department Secretary - Clerk Typist III (full-time)
Duties: Keep track of the budget for the Act 101 grant in a line item format which needs to be reconciled regularly to insure the grant is not over or under spent in any line by more than 10%; assist the Act 101 Director with the preparation of the Act 101 financial reports for the State Coordinator of Act 101; assist the Act 101 Director with updating the Act 101 grant proposal; independently track the contracted Act 101 student participants and input detailed information into a data base file which is sent annually to the Act 101 State Coordinator; use the PHEAA terminal to obtain the adjusted gross income of Act 101 student participants and index it by 200% of the poverty guidelines to assure income eligibility; download specific information from CARS using delimiters for use in various merge files; prepare all documentation necessary for the Summer Educational Opportunity Program including coordination of room scheduling, organizing the reception, correspondence on a regular basis to the candidates, and preparation of packets for student registration; etc.; act as the recording secretary for the Act 101 Advisory Board; schedule appointments using a master schedule system for the Counseling Center; update the Academic Advising Handbook; organize and update three separate filing systems - Counseling Center clients, Act 101 student participants, and the Academic Development and Counseling Department files; supervise several students doing data entry into various software packages for the department; make travel arrangements and process reimbursements; input student pay and staff/faculty leave time into the SAP system; prepare the Exploratory Studies Advising Report for the new fall exploratory studies advisors using CARS Ace Reports; track the Academic Development and Counseling Budget and authorize orders for Staples; order supplies for Act 101, the Counseling Center, and the Exploratory Studies Advising Office; track the Counseling Center budget and provide the Director of the Counseling Center with regular updates; prepare letters for all incoming exploratory studies students utilizing CARS mail merge letters feature; tabulate and type various surveys for the Tutorial Coordinator.

streamlining of the flow of information within their program; January of 1999
designed a comprehensive student contact data base program using Microsoft
Access.

assisted with the data entry of work orders; generated various reports from the
work order system; networked with other SSHE
universities regarding work order systems; tracked - overtime, compensatory

assisted in writing policies and procedures for the department; assisted in MR# clean up at the end of fiscal year 93/94; assisted the
Department Secretary for Facilities Management and Planning with updating
contracts on Word Perfect for Windows; integrated new software packages for the
department.

confirmed verbal credit checks on employees; prepared various forms for the
hiring/terminating of employees; kept accurate records of the
hiring/terminating of employees and prepared an accessions and terminations
report on a monthly basis; prepared coaching benefit reports by fiscal year;
typing (contracts, letters, reports, etc.); input leave into the Human Resource
System (SSHE); trained University personnel on
various software packages; prepared correspondence for all prospective employee
inquiries; attended SSHE system training sessions;
made travel arrangements and processed reimbursements; ordered office supplies;
assisted employees with health insurance benefit billing problems and benefit
questions as needed. Under separate
contract, converted the University General Catalog (237 pages) from one
software program to another and made all updates necessary for publication.

director; back-up PBX Operator - answered the main line into the college and
directed phone calls to the appropriate office when the full-time PBX Operator
was on leave; back-up for Purchasing Office - witnessed and tabulated bid
openings, spot checked purchase orders and input data when the purchasing agent
was on leave; back-up for Food Services - provided secretarial coverage when
the Food Services secretary was on leave as well as software support to this
office; back-up for the College Bookstore when necessary.
